The Assistant Director (AD) of Student Financial Services (SFS) manages and supports various financial aid and student accounts functions within the Otis College Student Financial Services Department. The position is responsible for monitoring process efficiencies to maintain high-touch student financial services in the student-centered environment. The AD monitors compliance with federal and state regulations as well as with Otis’ internal policies and procedures. The incumbent must be available to work extended evening and weekend hours when needed. The positions reports directly to the Director of Student Financial Services.
•Assists with the development and implementation of student financial services procedures, processes, and communication that enhance student experience.
•Ensures accurate and efficient technical operations including the implementation and maintenance of the financial aid and student accounts receivable modules, all third party software applications, and internal applications
•Coordinates administration of federal, state, and institutional financial aid funds in accordance with all relevant regulations.
•Provides leadership to the financial aid staff with issue resolution related to financial aid application processing and packaging.
•Remains current with financial aid regulations, technological innovations, and best-practice trends in financial aid, student accounts, and enrollment management. Maintains up-to-date working knowledge of VA benefits.
•Monitors satisfactory academic progress; manages the SAP appeal process.
•Manages all aspects of data exchange between federal, state and institutional systems. Coordinates student information and imaging systems upgrades, modification, and testing processes for the SFS department. Leads annual system set up/rollover processes.
•Coordinates Federal Direct Loan processing and disbursements, administers monthly Federal Direct Loan reconciliation.
•Oversees private student loan certification/disbursement processes and ensure ongoing evaluation of private lender services, maintains the Fast Choice lender list.
•Ensures timely and seamless student account collection processing and assist the SFS Director with data collection/analysis and report development processes.
•Completes or collaborate in the completion of financial aid surveys, forms, and reports.
•Assists in providing leadership and development of policies and procedures for Student Financial Services and is responsible for maintaining up-to-date SFS policies and procedures.
•Monitors student accounts auditing process to ensure accurate assessment of all charges, correct application of payments/credits, timely payment delivery, and accurate refund processing.
•Oversees Student Accounts hold apply/release process, monitors delinquent accounts’ billing and communication processes. The AD works with third party service providers to set up and streamline processes, and oversees the third party invoicing/ billing processes.
•Supervises the Student Account staff. Assist the SFS Director with providing opportunities and coordinating professional development for the SFS staff.
•Monitors student account issue resolution & communication processes, ensures timely identification and fixes of discrepancies with the general leger.
•Assists with processing, filing and distributing IRS 1098-Ts.
•Meets with families and students on an as-needed basis; provides counseling regarding financial aid and payment options. Offers solutions to assist students in settlement of financial obligations.
•Serves as a front line contact for internal customers and external vendors; interacts with collection agencies, payment vendors, and billing agencies as needed.
•Performs other related duties as assigned. Must be responsive to work-related phone calls and emails during non-business hours on occasion.
Bachelor’s Degree required. An in-depth knowledge of federal and state financial aid programs, ability to compile and analyze data, with excellent verbal and written communication skills, and computer proficiency are required. Experience with student information and imaging systems, COD, NSLDS, and familiarity with EdConnect is required. Must be available to work extended evening and weekend hours when needed.
Master’s degree preferred. At least 5 years of student financial services experience is preferred. Knowledge of ELMOne or other similar private loan certification program is preferred. Knowledge of SCT Banner computer system is a plus.
