Job Description

The Dean of Extension is responsible for the creative vision, direction, planning, recruitment, administration, personnel management, and fiscal success of the department. The department consists of Adult Education including Certificate Programs, Pre-College Programs, Summer Programs and Youth Summer Camps, and Community Programs. The position reports to the Vice President of Campus Life and is an exempt position.

Job Duties

•Leads, supervises, and manages a team of extension professionals from Directors, Coordinators, to project managers.

•Implements and manages the day-to-day operations of the Customer Relations Management (CRM) software system.

•Provides oversight in the development, implementation, and maintenance of curriculum, and programs that respond to community needs, prepare students for personal and professional success.

•Leads the management of all campus-wide summer programs including residency retreats and programs, youth programs, and international workshops.

•Initiates and publishes weekly enrollment reports, set semester enrollment projections, develop longitudinal data comparisons, year in review reports and analytics. Works in partnership with Institutional Research and Effectiveness.

•Leads online course growth and development. Oversees day-to-day operations and management of online programs.

•Collaborates with Marketing and Communications to set the marketing strategy for Extension programs.

•Develops all Extension and Pre-College program accreditation related materials.

•Plans and executes all Extension events such as Open House, community events, and participate in campus-wide programs.

•Promotes Otis College in academic, professional and public communities.

•Attends selected professional organizations, trade shows, and local conferences to raise program awareness and to initiate and cultivate relationships within the art and design professions.

•Develops strategic plan for the department and yearly benchmarks for growth and expansion.

•Provides budgetary oversite; assess division’s financial performance.

•Drafts and conducts employee performance evaluations, Provide guidance to staff on skill building and professional development.

•Cultivates and maintains relationships within the institution, other campus departments, and professional communities.

•Serves as the deputy Chief Conduct Officer for all student cases involving extension and pre-college students. Works in partnership with the Chief Conduct Officer for BFA/MFA students.

•Works with Institutional Advancement staff to identify and apply funding opportunities. Serve as Project Director on divisional grants.

•Serves on College-wide committees such as the Academic Chairs meetings, academic assembly, budget committee, and the policy review committee.

• Other duties as assigned.

Job Requirements

Required Qualifications

Master’s degree required or equivalent work experience and five to seven years progressively responsible experience in an administrative position, and significant experience with curriculum development, marketing, and student recruitment and retention. The successful candidate must be a self-starting, hardworking, creative, strategic thinker, capable of managing and expanding all extension programs. They must have excellent leadership, management, and communication skills (both verbal and written.) Should be able to develop and analyze research data related to marketing and recruitment of students. Must have extensive knowledge of marketing within the Continuing Education and professional marketplace. Must have demonstrated ability to significantly expand the enrollment of new programs. A professional with both vision and practicality, they will have enthusiasm for education and the ability to translate knowledge into programs that meet audience needs. Strong connections in the local art and design community are a must, with the goals of recruiting instructors as well as elevating the Program’s visibility, prestige, and opportunities for growth.
