The Student Health Operations Manager handles a variety of tasks associated with the day-to-day operations of the Student Health & Wellness Center and health insurance programs including insurance authorization and/or verification, patient scheduling, ledger billings, student benefits management, basic patient triage and data analytics. This position works closely with patients and clients, medical and counseling staff to arrange comprehensive health and counseling treatment and works with different constituencies across the campus to implement programs to promote student health and wellness. This position reports directly to the Student Health & Wellness Center Director/Physician.
•Manages day-to-day administrative and operational functions of the Student Health and Wellness Center and the health insurance programs.
•Assists in developing and implementing department policies and procedures, both internal and for accreditation purposes.
•Greets patients/clients and guests visiting the Student Health & Wellness Center and triages students to determine appropriate level of care for both medical and counseling services.
•Schedules and confirms appointments and follow-ups for student medical and student counseling services. Screens and prioritizes incoming calls and responds to inquiries or requests for information as appropriate. Documents messages and patient contact information in the electronic health record and/or transfers calls to a supervisor, as appropriate.
•Responsible for student health insurance plan development, design, and approval; waiver and enrollment of insurance plans; and plan education and outreach.
•Registers new patients and their eligible dependents into the school health insurance plan. Answers questions regarding insurance matters for students, dependents, and parents including questions regarding regulatory requirements for health insurance.
•Verifies all patient eligibility, authorizations, benefits, claim information with insurance companies, and 3rd party payers.
•Collects and processes payments made to the Student Health and Wellness Center. Confirms patient account balance for new/returning, currently enrolled students and their eligible dependents.
•Contacts patients and/or third party payers to secure payments or arrange alternative settlement plans for past due bills. Identifies problem delinquencies and alerts supervisor. Prepares and maintains collection records and reports.
•Reviews patient billing in the electronic health record and patient management system. Prepares monthly insurance ledger billing reports, student walk-out statements, and reconciles charges. Provides monthly reports to supervisor and the Vice President for Student Success.
•Assists with insurance processes for outside providers.
•Manages patient requests for medical records in accordance with established policies and procedures. Handles immunization document scanning. Ensures patients’ rights to privacy and confidentiality are maintained in accordance with HIPAA regulations.
•Assists in budget development by gathering, analyzing, and reporting data. Provides projections and recommendations, as requested. Monitors assigned budgets and reports variances to supervisor.
•Works with outside vendors as the point person for the Student Health and Wellness Center.
•Maintains and orders office supplies and other supplies needed for the SHWC.
•Supervises student workers within the Student Health and Wellness Center
•May conduct public presentations at student/parent orientations and other outreach events. May perform administrative duties associated with scheduling and coordinating meetings and planning special events. May arrange with vendors for services, site, facilities, catering, guest accommodations, travel arrangements, etc. Attends functions to ensure satisfactory outcome.
•Completes online courses, workshops, seminars, and other mandatory educational requirements on an annual basis to maintain currency in field.
•Adheres to confidentiality and HIPPA laws and guidelines with regards to student health records.
•Forecasts and plans for revenue opportunities.
•Performs other related duties as assigned. Must be responsive to work-related phone calls during non-business hours on occasion.
Bachelor’s degree in a related field is required. A minimum of two years’ experience in an ambulatory health care setting or health insurance customer service, billing, or claims areas is required. Computer literate in Microsoft Office (particularly with excel spreadsheets) and patient management or billing systems is required.
Health insurance and/or billing insurance experience preferred.
